Cancellation Policy

YOUR APPOINTMENT TIME IS RESERVED EXCLUSIVELY FOR YOU

We are committed to providing excellent dental care that is accessible to all our patients. At The Grove Dental Rouse Hill your appointment time is reserved exclusively for you, and we will dedicate our time and resources to ensure you are given the highest standard of care possible.

BOOKING DEPOSITS

When you are booking an appointment for your treatment, you are holding a space on our calendar that is no longer available to our other patients. A non-refundable $100 booking deposit is required to schedule any treatment appointments that are 1hr or more in duration. This is because we will be ordering materials and allocating staff resources to your appointment. Larger or more complex treatments (e.g. orthodontics, veneers, full mouth rehabilitation, implants) will require a larger deposit or partial payment of your treatment fee at the time of making the appointment. The booking deposit will be held as a credit on your file and can be used towards your last treatment appointment. If less than 48 hours’ notice is given for cancellation or rescheduling, or you fail to attend your appointment, this deposit will be forfeited and invoiced as a cancellation fee, and therefore no longer held as a credit in your file.

CANCELLATION POLICY

Cancellations without adequate notice, failing to attend without notice or arriving late disrupts the service we provide our patients. Appointments at our practice are in high demand, and your advance notice will allow us enough time to offer your appointment slot to another patient in need of care. Missed or broken appointments represent a cost to us and to other patients who could have been seen in the time set aside for you.

We understand that life happens – if you need to reschedule or cancel an appointment, we require at least 48 hours’ notice.

Failure to attend your appointment (no-shows) or give at least 48 hours’ notice of cancellation will incur a cancellation fee that is equivalent to $50 per 30-minutes of scheduled appointment time.

Patients who demonstrate a pattern of no-shows or short-notice cancellations (2 or more) will be required to make a non-refundable booking deposit ($100) or pre-pay for treatment to secure another appointment.

We do understand that significant emergencies may arise unexpectedly so this fee will be applied at the discretion of management.

LATE ARRIVAL

To ensure we can provide fair and efficient service, we require patients to arrive at least 5 minutes prior to their scheduled appointment start time. If you are running late, please call ahead and advise us – we will always do our best to accommodate late arrivals. Arriving more than 15 minutes late, however, may result in you forfeiting your appointment time and incurring a cancellation fee as the remaining time available may not be sufficient to perform the treatment, and would unfairly interfere with other patients’ appointments.
